Regulations for consultation and reproduction of archive and library materials (effective from January 10, 2023)

Users admitted for consultation

Access rules and behavior in consultation rooms

  1. Consultation is possible during public opening hours.
  2. Bags, backpacks, coats, umbrellas, and computer cases must be stored in the cloakroom at the entrance.
  3. Speaking loudly is prohibited in the consultation rooms.
  4. Mobile phones are not allowed in the consultation room.
  5. Smoking, eating, or drinking is prohibited in all areas.
  6. Users are not allowed to access storage areas unless expressly authorized by management and accompanied.

Consultation prerequisites

  1. For each archival and library collection to be consulted, a request must be filled out in the appropriate register. This should indicate the reason and title of the research. For each archival unit and/or volume to be consulted, a specific request must be completed in the appropriate register, indicating the names and locations present in the collection inventories.
  2. Consultation is personal: each user must complete their own request, and materials cannot be exchanged between users.
  3. A copy of the publication or doctoral thesis that references the research outcomes must be submitted to the Foundation's Management.

Consultation rules

  1. Documents and volumes must be handled with the utmost care. Ribbons and bindings cannot be removed.
  2. When required by the conditions and type of materials, staff may require the use of special gloves.
  3. Do not underline or write on documents and volumes.
  4. Do not modify the classification order or the direction of documents in files and folders.
  5. Do not remove documents from the files in which they are stored.

Consultation restrictions

  1. Users are given a maximum of 3 items at a time. They must be consulted one after another, meaning that a subsequent box, folder, or roll cannot be opened before closing the one already consulted.
  2. Collections undergoing reorganization are excluded from consultation.
  3. Materials for which management considers there to be a risk of privacy and security violation are excluded from consultation.
  4. Fragile documents are excluded from consultation. Management may at any time and at its discretion exclude materials from consultation and/or reproduction if their state of conservation requires it.
  5. For graphic works available in digital format, only screen consultation is allowed, unless authorized by Management.
  6. Upon user request, materials can be kept available for an agreed period. After this interval, they will be returned to storage.

Rules for reproducing Archive documents

  1. To request reproduction of Archive materials, users must complete a specific request for each archival and/or library collection. Each graphic work, photograph, and document for which reproduction is requested must be described in a way that ensures clear identification by staff.
  2. Reproduction is handled by staff, who determine the most suitable method after verifying the conservation status.
  3. Reproduction of graphic works is typically done through scanning and subsequent printing on A4 or A3 paper. For high-resolution copies intended for publication, the Foundation's Management provides a file for each document, upon payment of reproduction costs and rights.
  4. Alternatively, for graphic works, documents, magazines, and volumes, after verifying their conservation status, reproduction through photography by users is possible.
  5. For reproduction costs, please refer to the relevant price list.
  6. Reproduction of entire archival collections is not permitted.

For reproductions used in publications, the user agrees to:

  1. indicate in the caption accompanying the reproduction the source as follows: exact name of the collection: Fondazione Giorgio de Marchis Bonanni d'Ocre. Documentazione di Arte contemporanea, L'Aquila;
  2. provide management with two copies of the publication;
  3. not publish the reproductions in the future without express authorization from the Foundation's management;
  4. comply with the law regarding data confidentiality for documents produced in the last 70 years and the regulations governing copyright and reproduction rights.
  5. For publication rights costs, please refer to the relevant price list.

The management of Fondazione Giorgio de Marchis Bonanni d'Ocre Onlus reserves the right to modify these regulations.

Publication rights

For the reproduction of iconographic materials, a fee of EURO 100.00 per document is required for a single publication; for subsequent publications, the fee must be paid again.

These regulations are effective from January 10, 2023.
